British Gymnastics has the following permanent full-time post: Data Protection and Governance Officer 37 hours per week

Salary range  £26,000 to £28,000 (dependant on experience) per annum +39 days annual leave (including Bank Holiday and Company days) + 2 wellbeing days a year + weekly exercise and wellbeing hours

This is dual based role working from Lilleshall National Sports Centre, nr Newport, Shropshire (2 days a week) and home.

As the UK’s national governing body for gymnastics, by working closely with our members who form this community, we aim to lead, support and inspire them to help build a bright future for our sport.

Role Summary: The key focus of the role is to implement our data protection and information governance framework, helping to develop a positive governance culture across the organisation, and integrating data protection compliance into a wider corporate governance framework to enhance organisation effectiveness and stakeholder trust. The role will work closely with the Head of Corporate Governance (who acts as Data Protection Officer) and the wider Governance team and IT department.

Main Areas of responsibility Support the business to ensure it meets its legislative and regulatory responsibilities for data protection Typical activities:

• Provide advice and act as first point of contact for data protection and information governance related queries.

• Acknowledge and respond to data subject access requests, including documenting all requests, reviewing and collating located personal data, preparing responses, working closely with the Head of Corporate Governance

• Maintain personal data breach records and co-ordinate data breach team discussions to ensure a timely response to suspected personal data breaches and ensure appropriate action is out in place to prevent re occurrence. • Work collaboratively across organisations, supporting departments to be accountable for data protection and information governance.

• Undertake impact assessments, managing data protection risks and drafting and maintaining privacy notices and accountability documentation and maintaining the data asset register.

• Work closely with IT colleagues to automate data retention periods where appropriate and refine systems and processes to make it easier to comply with governance rules.

• Support the head of Corporate Governance to undertake data protection audits and other compliance activities.

• Support and champion data protection culture and compliance

• Work with colleagues within the corporate governance team to align and support wider processes.

The Person

• This role requires the holder to have a good knowledge and understanding of the UK General Data Protection Regulations (GDPR) and the Data Protection Act 2018 and other relevant legislation and guidance.

• The role requires good IT skills and experience with using Microsoft office 365 suite.

• The role holder will be able to demonstrate generic skills for: Researching, reporting, and making recommendations on the impact of changes to external regulatory and legislative environment and societal culture change. • Auditing, compliance, supporting corrective actions and promoting a culture of accountability.

• Sharing knowledge through incident management, training, or project support

• Good writing and administration skills for developing policies, writing reports, developing communications, and responding to external requests.

• To be effective in the role the holder will need to demonstrate a methodical and process-based approach to work with highly ethical personal standards, confidentiality and integrity.

• Diplomatic communication skills are required for challenging working practices, giving feedback, writing recommendations and reports, championing policies and standards and delivering training.

Role Summary:

The overall purpose of this role is to be the first point of contact for anyone contacting the business and to provide an efficient and effective customer service experience to all, through reacting to communications and proactively building links with all areas of the business as well as Home Countries and Club Secretaries

Main Areas of Responsibility:

1. Provide effective customer service.

Typical Activities:

• Responding to incoming communications/enquiries (all channels) from Members and clubs about insurance claims, Criminal Records checks, membership benefit enquiries, web portal enquiries etc.

• Handling enquiries from/converting prospective members e.g. new clubs and coaches

• Maintaining concise and accurate log of each call/action on CRM • Become a department ‘Guru’ on specific departments activities

• Sharing this information with colleagues • Processing Criminal Records applications in line with regulations and counter signatory responsibilities

• Handling complaints across a broad range of issues.

• Dealing with event entry queries • Handling education queries

• Giving advise with regards to PPL/PRS 2. Assisting membership process Typical Activities:

• Proactively chasing outstanding fee payments in line with credit control protocol

• Updating CRM in relation to all payments • Running reports (weekly) to check/cleanse the data e.g. investigate duplicated member records.

• Understand the basic roles & functions of all departments

• Using incoming call opportunities to proactively introduce promotions e.g. new courses/technical modules, new award schemes, etc.

The Person

To be effective in this role the role holder must have a strong team work ethic and responsibility towards colleagues and the achievement of department targets/objectives. This role requires the role holder to understand and demonstrate excellent customer focus and effective telephone and communication skills. Good IT skills (Microsoft Word/ excel) required

British Gymnastics has the following 2-year Fixed term post: Performance Administrator Role 37 hours per week Salary range £18,278.00 to £19,000 per annum (dependent upon experience) 39 days annual leave (including Bank Holiday and Company days) + 2 wellbeing days a year + weekly exercise and wellbeing hours This is a dual based role working from Lilleshall National Sports Centre, nr Newport, Shropshire (2 days a week) and from home

Role Summary: • Support the flow of work through the department, to ensure the effective and timely completion of all day-to-day administration. • Coordinate all financial processes within the department to ensure timely processing of all payments, invoices, refunds and expenses. • Coordinate all kit (clothing & Medical) process within the department to ensure timely management of all kit orders and deliveries across all of the disciplines.

Main Areas of Responsibility: 1. Support the flow of work through the department, to ensure the effective and timely completion of all day-to-day administration.

Typical activities: • Undertaking a range of administration tasks to support the delivery of high-performance programmes, camps and competitions, including: • Managing and maintaining the FIG licence process for all disciplines ensuring FIG licence expiry dates and applications are done in a timely fashion.

• Co-ordinating arrangements for Performance Sport Team (PST) meetings, including scheduling appointments, collating information, preparing presentations, booking meeting rooms etc.

• Supporting colleagues to prepare for camps and competitions e.g. logistics, kit, welfare and safety arrangements, delegation packs and VIP arrangements, athlete correspondence etc.

• Supporting the processing of athlete, coach and contractor payments and expenses

• Data entry/database maintenance, ensuring confidentiality and secure storage of data/records

• Ordering, receiving and distributing stationery and consumables e.g. staff kit, medical supplies, stationery items etc.

• Where appropriate, assisting the team in responding to unexpected events. 2. Manage identified financial processes within the department to ensure timely processing of all payments, invoices, refunds and expenses Typical Activities: • Processing credit card statements • Processing expenses

• Supporting production of reports and budgets

• Taking phone payments • Coordinating refunds 3. Organise and administer kit and logistics processes within the department to ensure timely management of all required support across all of the disciplines Typical Activities:

• Support the forecasting of kit (clothing & medical) with the Performance team

• Liaising with the kit providers on aspects of orders and deliveries

• Coordinating the requirements of athletes and staff

• Packing and preparing clothing and for camps and competitions

• Packing and preparing medical kit bags for camps and competitions

• Ensuring timely delivery and returns of kit
